How the invoice works

Add your business details, customer information and invoice items. The generator then calculates each line total, subtotal and final invoice amount from the figures you enter.

Line total = quantity × unit price.
Invoice total = subtotal + VAT or tax − discounts, where applicable.

A worked example

If you invoice for 3 items at £50 each, the subtotal is £150. If 20% VAT is added, the VAT amount is £30 and the final invoice total is £180.

What to allow for

Check your business name, customer details, invoice number and payment information before sending the invoice.
Make sure any VAT or tax rate you enter is appropriate for your business and the invoice you are creating.
Review quantities, prices, discounts and totals carefully before downloading or sending the finished invoice.
The generator helps you create and calculate an invoice, but you remain responsible for making sure the invoice meets any legal, tax or accounting requirements that apply to you.

Useful questions

Can I use this invoice generator if I’m not VAT registered?

Yes. If you’re not VAT registered, simply leave VAT off the invoice. Only VAT-registered businesses should normally charge VAT.

Can I add VAT to my invoice?

Yes. Enter the VAT rate that applies and the generator will calculate the VAT amount and final total automatically..

Can I use the invoice for products and services?

Yes. You can add products, services or other charges as separate invoice items, including quantities and individual prices.

Are my invoices saved?

Yes. Your invoices are saved locally in the browser on your device, so you can return to them later. They are not stored on our servers. If you clear your browser data, switch browsers or use another device, your saved invoices may no longer be available.
